Here are some instructions for how to access Zoom’s basic functionality that will be useful for attendance to our online events. Please note that due to the incredible variety of computer types, operating systems, browsers, and such, it is challenging to have instructions that will work for everyone in all cases.

We have done our best to simplify zoom’s instructions for the attendees of our events and thank you for your patience if things don’t look precisely like this on your end.

Installing and Updating Zoom

Desktop and Mobile Users

Please have Zoom installed on your device and updated to the latest version prior to the beginning of the event.

Joining a Session

Desktop Users

Please click on the ZOOM link found in the instructions email.

You can also join the meeting using the Meeting ID provided in the email. Open ZOOM and click on “Join Meeting”. Then enter the Meeting ID provided for the live session, your name and Passcode (if needed).

Once the session has begun, ZOOM will open a window that will fill your screen. A window might pop up where you are prompted to select your audio connection. Click the blue “Join with Computer Audio” button so that you can hear the session on your computer.

Mobile Users

Please click on the ZOOM link found in the instructions email.

You can also join the meeting using the Meeting ID provided in the email. Open ZOOM and click on “Join Meeting”. Then enter the Meeting ID provided for the live session, your name and Passcode (if needed).

A window might pop where you are prompted to select whether you would like to “Join with Video” or “Join without Video”. You can also turn your camera on and off during the session. Then a notification will pop up regarding audio; you can choose the “Call using Internet Audio” (recommended) or you can “Dial in”.

At the bottom of your ZOOM conference window, you’ll have the following options:

Join Audio and Unmute

If you have already selected “Join with Computer Audio” then you’ll see “Unmute” on the lower left of your ZOOM screen.

If not, then click “Join Audio” on the lower left, then select “Join with Computer Audio” to connect and hear the conference. You can adjust your audio settings by clicking on the arrow pointing up just to the right of that button:

Participants will be muted automatically upon entry. If you are invited to ask a question or share, you will see an invitation to unmute yourself.

Audio Troubleshooting

Should you experience any audio issues during the event, here are some helpful tips:
– If no sound at all, leave the event and come back;
– If the sound is low, turn up the computer’s volume. If still low, you might want to wear headphones.

Also, please check your Zoom settings using the steps below:
Go to audio settings:

Then be sure your speaker is set to a high “Output Volume” (adjust as necessary). You can also use the “Test Speaker” button to make sure you have sound coming through your system.

Start Video

If you decide to turn on your video, your image can be seen by everyone. We recommend that you leave your video on so as to create a more community-like feel. However you may turn off your video at any time for more privacy. 

You can also adjust your video settings by clicking on the arrow pointing up just to the right of that button.

Closed Captioning

Mobile users

To view closed captioning or live transcription during a meeting or webinar:

  1. Tap “More” and then tap “Meeting Settings”
  2. Toggle Closed Captioning to on

When you are in a meeting where closed captioning or live transcription is available, they will automatically appear on the bottom of the screen.

Chat

Desktop users

Click the “Chat” button to open the chat window. By default, your message will be sent to everyone in the session.

To send a private message to a participant, first open the chat window, then click on the blue button next to “To:” and choose the participant you would like to send a private message to. Once a participant is selected, you will see their name in the blue button and a red “Direct Message” notification next to it.

At times, you might find that chat is enabled but you don’t want to be distracted by the pop-up notifications. We invite you to simply drag it out of sight to one edge of your screen so it is no longer visible.

Mobile users

Click “More” and then select “Chat” to open the chat window. By default, your message will be sent to everyone in the session.

To send a private message to a participant, first open the chat window, then click on the name next to “Send to:” and choose the participant you would like to send a private message to. Once a participant is selected, you will see their name next to “Send to:”.

Asking Questions

At given times throughout the event, Gabor will take questions from the audience. To ask a question:
  a. “Raise your hand” in Zoom with the “raise your hand” feature, AND
  b. SEND your question as a PRIVATE MESSAGE to the user called “QUESTIONS” through the chat window in the zoom main call. Please ask your question directly and succinctly in 1 to 2 sentences

Desktop users

Click the “Raise Hand” button.

Mobile users

Select “More” and then select “Raise Hand.”

Breakout Room

For small-group exercises, you will be directed to breakout rooms. The process will happen in two steps. First you will be sent to one of four breakout lobbies, depending on the first letter of your last name. There you will receive further instructions and be automatically assigned to breakout rooms with one or two other participants for the duration of the exercise. On the way back from breakout rooms, you will again pass through the breakout lobby before going back to the main room.

Should you find yourself alone in your breakout room, please come back to the lobby so we can assign you to a different room.

Desktop Users

Once in the breakout room, you will see the options to (1) Ask For Help, which will prompt a message to the host to join the room and help you; (2) Leave, which will open a window where you can choose to (3) Leave Breakout Room.

Mobile Users

Once in the breakout room, you will see the options to (1) Ask For Help, which will prompt a message to the host to join the room and help you; (2) Leave, which will open a window where you can choose to (3) Leave Breakout Room.
